Privacy Policy

The Cowes Floating Bridge ticketing system and website is operated by LOOKsystems Limited (data processor) on behalf of the Isle of Wight Council (data controller).

What information we collect

For Saver Card customers:

  • Name
  • Address
  • Telephone number
  • Email address
  • Password
  • User status
  • Security question and answer
  • Saver Card numbers attached to your account
  • Saver Card label attached to your account
  • Saver Card account id
  • Transaction history
  • For online non-Saver Card payments:
  • Email address or mobile phone number
  • Time/date
  • Amount
  • Transaction history

How and Why We Collect It

The information is collected through the online Saver Card registration form on this website as part of the customer registration process; and through the customer’s use of the Floating Bridge service. This is deemed ‘a legitimate interest.’

It is used for the purpose of managing the customer’s Saver Card account and to allow communication with the customer when required, for notification about the service or Floating Bridge operation.

Online purchases are processed via the relevant third-party payment provider. Payment details (include card or account details) are not held by ECR Retail Systems or Isle of Wight Council. The payment providers have been assessed to compliant with PCI and GDPR requirements.

How we use and secure it

The information forms part of the Saver Card account record within the Floating Bridge ticketing system and is used to allocate Floating Bridge crossing transactions to the correct account. It is stored in a secure EU data centre. Access to the server and the ticketing system is strictly limited to authorised personnel.

Access by any third parties

The data that we hold is used solely for the stated purpose. No other transfer or sale of data is carried out.

We use third party services to process online payments and to manage communication with you. These have been assessed to be compliant with GDPR.

Google Analytics

We use Google Analytics to monitor website usage. We only use aggregate data and do not identify individual website visitors.

What control is provided for users

The information that is collected is as stated in the first section of this Policy.

Users may contact the Isle of Wight Council to request a copy of the information that is held within the system.

Users may contact Isle of Wight Council or LOOKsystems Limited (see below) to request that their information be removed. When such a request is implemented, this will result in the user being removed from the Saver Card aspect of the ticketing system.

How long we hold your information

We are required to retain your information for as long as is necessary, after which it will be securely destroyed.

Retention periods can differ and will depend on various criteria including the purpose of processing, regulatory and legal requirements, and internal organisational need.

We have retention schedules in place that set out in detail how long information will be held for. If you require more information, please contact the relevant service

After 6 months, where a customer has registered for an account but has not activated it, the account may be closed and all personal details will be deleted.

After 2 years of an account being opened, if no top-up payments have been made, the account may be closed and all personal details will be deleted.

Where an account has a zero balance but has not been used within the last 2 years, it may be closed and, unless there is another legal basis for processing/retaining the information, personal details will be deleted or anonymised.

Where an account has a balance but has not been used within the last 5 years, it may be disabled. Customers may contact Cowes Floating Bridge or LOOKsystems Limited to have the account reinstated.

Where a customer requests that an account be closed, unless there is another legal basis for processing/retaining the information, personal details will be deleted or anonymised.
